Share apps and control access

Sharing an app involves both opening the application and using the information inside it. Review the app's access settings before sending its URL to someone else.

Share an app

  1. Open the app's sharing controls from Apps.
  2. Review who currently has access.
  3. Add the intended audience using the available options.
  4. Copy the app link and test it with a recipient's own account.

If you cannot change sharing, ask the app owner to review access. Merely possessing the app's URL does not guarantee permission to use it.

Check the data experience

Ask the recipient to try the actions their role needs. Being able to load an app does not necessarily mean they can view every record or perform every write action. The app's data permissions may limit what each user can do.

For apps that use connected services, users may also need their own account authorization. Do not distribute the creator's credentials as a way to make the app work for others.

Remove access

Use Who has access and the available removal controls when someone no longer needs the app. Review other grants and project membership that may also provide access.

Recheck access after a substantial app update, particularly when it adds new information or actions.
